How Do QR Code Event Passports Work?

QR code event passports work by linking a participant's digital progress record to activities around an event. The QR code usually contains a web address, not the person's full Passport. Opening that address takes the participant to the relevant entry or station flow, where the platform applies the organiser's rules.

Joining and visiting a station are different steps

A welcome QR code helps someone enter the event experience and access their Passport. A station QR code takes them to a specific activity. Explain that difference on the signs. Using the same vague “scan here” instruction everywhere can leave participants unsure whether they are joining, reading information or earning a stamp.

After joining, the participant should be able to see their progress and return to it. Test the recovery process you have configured before opening day. Do not assume that changing phones, clearing browser data or using a different browser will automatically identify the same person without the required credentials.

A scan starts a flow, not always a stamp

Some stations award credit for the configured scan activity. Others require a quiz answer, survey submission, staff confirmation or another supported action. The platform checks that activity's conditions before updating progress. If a participant sees an instruction rather than an immediate stamp, that may be the intended behaviour rather than a technical fault.

Choose the mechanism to match the objective. An unattended poster can make exploration simple, but its link may be shared. Where the interaction needs staff involvement, use the appropriate supported staff workflow and train the team. No ordinary QR code should be described as absolute proof that someone physically attended or paid attention.

Progress and rewards are evaluated separately

The Passport shows completed activities and any remaining requirements. A reward can depend on more than the total number of stamps, including specific assigned stations where that mode is configured. Lucky Draw entry is also different from winning and collecting a prize. Make each stage visible in the participant instructions.

For example, someone might visit six stations but still have one required assigned station left. Optional visits should not be presented as substitutes for that requirement. Test edge cases such as returning participants and incomplete activities, not only the happy path where a new participant completes everything in order.

Prepare the QR experience for real conditions

Print codes with sufficient contrast and space around them, place them at a reachable height and include a short instruction. Test the actual printed size under venue lighting. Check mobile reception and Wi-Fi along the route. Have a staffed assistance procedure for people with a flat battery, inaccessible device or connectivity problem.

A browser-based experience removes the installation step, but it does not automatically mean offline operation. Do not promise that scans will be recorded without a connection unless the exact workflow has been verified. Agree on how staff will handle an interruption before participants encounter one.
