What Is a Digital Event Passport?

A digital event passport is an electronic record of a participant's progress through event activities. Instead of carrying a paper card between booths, the participant opens a digital Passport, completes activities at stations and collects credit towards a stated goal. It can support exhibitions, conferences, open days and other multi-stop experiences.

What makes it a passport rather than a webpage?

A useful event passport remembers an individual participant's progress. It has defined activities, a way to recognise completion and an explanation of what happens next. A QR code that opens a brochure is not, by itself, a passport. Nor is a list of exhibitors with no relationship between visits, participant identity and completion.

Think of a simple example: a university open day offers laboratory demonstrations, a library activity and a careers question. Participants can see which activities they have completed and what remains. That progress record gives structure to exploration without requiring every participant to follow a guided tour.

How does the participant journey work?

Participants join through the organiser's chosen entry point, such as a welcome QR code or link. They provide the information required for that event and access their Passport. At each station, they complete the configured action. A basic activity might involve a scan; another may involve a quiz, survey or staff confirmation.

After completion, the Passport updates their progress. The organiser may offer a reward, a Lucky Draw entry or simply a visible record of participation. These outcomes are not interchangeable. A completed Passport does not automatically mean someone has won a prize, and the organiser should make the distinction obvious before participation begins.

How is it different from a ticket or event app?

A ticket primarily establishes entitlement to enter an event. A passport structures activities after, or alongside, admission. A broader event app might also contain agendas, messaging and exhibitor directories. A passport can be a focused part of that wider experience without replacing every other event system.

What does an organiser need to prepare?

Define the objective, participating stations, completion rules and support process. Decide what participant information is genuinely necessary, who can access it and how long it should be retained. Test the route on actual phones and check venue connectivity. Provide assistance for people who cannot use the digital experience comfortably.

Keep the first version modest. Five clear activities are easier to explain than a long list of loosely related challenges. If activities vary in duration, account for that when setting the completion target. Use the event's programme and floor plan to decide what is realistic.
