How organisers set it up

  1. 1

    Build the agenda

    Create the relevant tracks and sessions with clear names and times. Review what should be visible to participants.

  2. 2

    Configure session participation

    Check the supported registration, capacity and check-in settings for each session. Prepare the correct session link or QR rather than a generic booth code.

  3. 3

    Test the on-site flow

    Test the public agenda and session check-in on a phone. Staff should understand that going live opens the active Passport's supported session check-in, rather than relying only on a future Event start time.

What participants experience

Participants view available sessions and use the relevant session entry or check-in flow. Session activity and any related stamps follow the configuration. Seeing a session in an agenda is not the same as holding an admitted Event registration or a guaranteed reserved seat.

Settings and controls

Programme structure

Use session times and tracks to keep the programme understandable. Review changes before publishing instructions or printing codes.

Capacity and check-in

Where a session has limited registration, check its capacity and admission rules. Do not confuse a schedule listing with an unlimited booking offer.

Reporting

Use session-specific records for session activity and the registration module's admission records for Event entry. These answer different questions and must not be added together as independent attendees.

Limitations and boundaries

  • Session check-in is not front-door Event admission.
  • An agenda listing or Passport stamp is not automatic proof of a reserved session place.
