Analytics and reporting: Event overview
How organisers set it up

Choose the measurement
Agree whether the question concerns Passport participants, station completions, session check-in or reward collection. These are different records.

Check the fields available
Review the actual report and export for the activity configuration. Do not promise a sponsor a field or time range before checking it.

Set sharing and retention rules
Limit identifiable data to the intended recipients and purpose. Use aggregate figures when they answer the question without unnecessary disclosure.
What participants experience
Participants generate records through the supported entry and activity flows. Explain relevant data collection through the Event's information and consent choices. Participation should not silently become an unrestricted marketing database.

Reports and CSV exports
Use the report appropriate to the module. Station, survey, session and registration records have different meanings and available fields.
Operational interpretation
A low stamp count may reflect signage, queues, connectivity or an unfinished activity. Check the operation before labelling it low interest.

Reporting
Station counts reflect recorded stamps, not every attempted scan. One person can complete many stations, so summing station totals does not give unique Event attendance. Combine participation evidence with separately collected commercial outcomes only when the attribution method is stated.
Limitations and boundaries
- Recorded activity is not automatic proof of physical presence, qualified leads or financial ROI.
- Exports may have access, field and date-range limits; verify the current option before promising an unrestricted export.

Explain the configured activity precisely. A public link can be shared and the record alone does not prove a physical visit.
Participation reporting is one input. Financial ROI requires attributable returns, costs and an agreed commercial method.
