Exhibitor portal: Exhibitor opens their portal

How organisers set it up

  1. 1

    Assign the correct access

Create or configure the exhibitor's permitted booth relationship and account access. Use the supported setup or reset link flow.

  2. 2

    Review editable content

Explain which station instructions, activities and contact fields the exhibitor may manage. Organisers retain their own management access.

  3. 3

Agree on reporting and data sharing

Check permissions for leads and identified survey respondents separately. Brief the exhibitor on the collection purpose and appropriate follow-up.

What participants experience

Participants interact with the booth's configured station rather than being asked to join a separate exhibitor administration system. Any collection of contact details or survey responses should have a clear purpose and appropriate privacy information.

Settings and controls

Scoped booth management

Access should relate to the exhibitor's assigned work, not unrelated stations or all Event participant data.

Separate data permissions

Lead access and respondent identity access are different permissions. Enabling one must not be described as granting everything.

Sample scenario for explanation only. This is not live product data, a screenshot, or a real registration or draw.

Scenario: An organiser gives a sponsor access to its booth activity.

Step 1 of 3

Set up

The exhibitor completes the supported account setup process.

Reporting

Exhibitors use the reports available to their account and assigned scope. Recorded stamps and responses are participation evidence, not automatically qualified leads, commercial outcomes or permission to email every participant.

Limitations and boundaries

  • Exhibitor reports require appropriate account access.
  • A booth's activity count must not be presented as guaranteed physical footfall or proven sales interest.

Frequently asked questions

Not simply for participants to complete a booth activity. Accounts are needed for the exhibitor's management and reporting tools.

No. Data access depends on permissions, collection purpose and the relevant privacy requirements.
