How organisers set it up

Map messages to real states
Decide what someone should receive after confirmation, a relevant status change or admission. Do not send confirmed-entry wording to a waiting or unpaid registration.

Review consent and audience
Use the applicable opt-in for optional non-promotional reminders and thank-you messages. A registration email address is not blanket marketing permission.

Test content and delivery
Check the supported preview and delivery information, links and recipient conditions. Confirm the sender configuration before promising a white-labelled address.
What participants experience
Participants receive messages appropriate to their registration status and communication choices. A confirmation should clearly explain the next step, while an optional reminder should remain within its stated event purpose.

Operational and optional mail
Essential registration communications and separately opted-in reminders have different purposes. Optional event reminders and post-admission thank-you mail are default-off choices.
Sender and content
Check applicable branding permissions and supported templates. Keep personal credentials and sensitive answers out of unnecessary email content.

Reporting
Use available delivery and workflow status rather than assuming every queued message was read. Delivery, opening and physical attendance are different facts, and provider status should not be treated as a participant's consent decision.
Limitations and boundaries
- Marketing needs separate consent; registration and prize participation do not provide it automatically.
- Do not promise immediate delivery or claim that a sent email was read.
