How organisers set it up

Prepare categories and forms
Assign active categories to the appropriate form and review the total, form, category and option limits that apply.

Prepare invitations
Use the supported invitation workflow and approved recipient list. Treat invitation links as access credentials rather than public promotional URLs.

Enable the intended waitlist
Explain what waiting means and collect explicit opt-in where required. Review the supported promotion process and the communications sent when a place becomes available.
What participants experience
An invitee follows the supported invitation link and sees the choices allowed for that form. At capacity, an eligible submission can join the enabled waitlist only through the required opt-in. A waitlisted person should not receive the same admission or Passport handoff as a confirmed registration.
Settings and controls
Layered capacity
Total Event capacity, form limits, categories and option limits can each affect availability. Check the whole configuration rather than only one number.
Promotion
The supported waitlist workflow uses its ordering and promotion rules. Promotion creates the appropriate new confirmation credentials rather than treating a waiting record as already admitted.

Reporting
Report invited, submitted, waitlisted and confirmed people separately. An email delivery failure is not the same as a capacity refusal, and neither should be silently counted as a successful confirmed registration.
Limitations and boundaries
- Waitlist entry does not guarantee later confirmation.
- An invitation link must not be published or shared as though it were an ordinary public form link.

Frequently asked questions
The supported full-capacity flow requires enabled waitlisting and explicit participant opt-in.
They should not be issued the confirmed admission or Passport handoff merely for joining the waitlist.
