Task with photo proof: Task shown with instructions

How organisers set it up

  1. 1

    Write a specific instruction

Describe the action and the acceptable evidence. For photos, explain whether people should appear in the image and obtain appropriate permission.

  2. 2

    Choose the completion method

Configure the available proof or verification workflow. An honour-based confirmation and a staff-reviewed submission offer different levels of assurance.

  3. 3

    Practise review and assistance

Test submission, pending review and the successful completion path. Brief staff on what to accept and how to help someone whose proof does not meet the instructions.

What participants experience

The participant follows the instruction and uses the configured completion method. A submitted photo may still need review before the activity is complete. Participants should be told when they are waiting for approval rather than encouraged to submit the same evidence repeatedly.

Settings and controls

Proof requirements

Keep evidence proportionate to the task and avoid collecting sensitive or unnecessary images.

Staff or participant confirmation

Use staff involvement for higher-stakes interactions. Honour-based confirmation is a declared trust model, not independent verification.

Illustrative guided walkthrough

See how Tasks & Photo Proof could play out

Sample scenario for explanation only. This is not live product data, a screenshot, or a real registration or draw.

Scenario: A discovery trail asks participants to photograph a completed display activity.

Step 1 of 3

Read the task

The participant checks what the photo must show and avoids including bystanders.

Reporting

Review proof status and recorded activity completion through the available organiser tools. Treat uploaded evidence as private operational data unless the separate Photo Wall sharing workflow permits publication.

Limitations and boundaries

  • Submitting proof is not the same as approval or receiving a stamp.
  • Photo Wall publication is separate from completing a photo-proof activity.

Frequently asked questions

That depends on the configured review and activity requirements. A pending submission should not be presented as an approved completion.

No. Photo Wall sharing has its own configuration and permissions.
