Hotel & Resort Guest Passport Template

This template seeds a Guest Passport across eight venues: the front desk, terrace restaurant, lobby bar, poolside grill, spa, fitness centre, kids club and activities desk, each with a seeded opening-hours window you correct for your property. Guests scan the QR in their room to start and visit venues in any order during their stay. A required Room number is captured and Passport recovery is by email link, so guests pick up where they left off. Rewards are hospitality perks fulfilled at the desk rather than a game.

How the template works

  • Eight venues are seeded with opening-hours windows guests scan within during their stay.
  • Passport recovery is by email link, so guests return to the same Passport across days and devices.
  • The leaderboard is off, and three staff-fulfilled rewards unlock at 3, 6 and 8 visits.

Example reward rules

  • Welcome drink at 3 visits, shown at the Lobby Bar and served by staff.
  • Spa discount at 6 visits for 15% off any treatment, applied at spa reception.
  • Late checkout at 8 visits, requested at the Front Desk (subject to availability).
  • Instant redeem is off across the board. Every reward is fulfilled by a staff member.

Attendee instructions

  • Step 1: Start your passport: No app and no password. Scan the QR in your room.
  • Step 2: Visit the venues: Eight places around the property. Visit them in any order during your stay.
  • Step 3: Scan when you arrive: Look for the Passport QR code at each venue.
  • Step 4: Claim your rewards: A welcome drink at 3 visits, a spa discount at 6, and late checkout at 8.

  • Step 1: Replace the sample venues with your real outlets
  • Step 2: Correct the opening hours on every venue. Guests will scan outside them otherwise
  • Step 3: Set your passport dates. Events run for a maximum of 7 days on most plans, so contact us about an ongoing passport
  • Step 4: Brief reception, the bar and the spa on how to scan a reward
  • Step 5: Print the passport QR for in-room cards and the check-in desk
  • Step 6: Upload your property logo and set your brand colours

Passport recovery is by email link, so guests return to the same Passport across the days of their stay and on different devices.

Instant redeem is off on every reward because each one is served or arranged by staff. Guests show their screen at the bar, spa or front desk to claim.
