Passport recovery: Participant cannot find their Passport

How organisers set it up

    Pick a recovery mode

    Open Registration & Access and choose Passport recovery mode: Exact name and email match (lower security), Name, email and secret answer (medium security), or Email verification (higher security). Swoogo badge verification appears only when the Swoogo badge integration is enabled.

    Check the required fields

    New Passports that require both name and email start on exact name and email match. The secret answer mode requires both name and email, so StampRise turns those fields on and locks them while it is selected.

    Test a recovery

    Join as a test participant, clear the browser session and recover from the entry screen. Confirm the result matches what you expect for the mode, including the inbox step for email verification.

What participants experience

A participant who cannot find their Passport recovers it from the entry screen. What they must provide depends on the mode: their exact name and email, those plus a secret answer chosen from a fixed list when they joined, or a link they open from their email. Recovery continues the same Passport rather than starting a new one.

Settings and controls

Exact name and email match

No recovery email is sent. Anyone who knows a participant's exact name and email can recover that Passport without email verification, so treat it as lower security.

Secret answer

Adds an answer to a fixed question. The questions may be guessable, so this is medium security and not a substitute for email access.

Email verification

The participant must receive and open a recovery link. It depends on email delivery and on their access to that inbox.

Reporting

A recovered participant keeps one Passport record, so stamps, points and reward progress stay together in your reports. Review attendee records if you suspect a duplicate was created instead.

Limitations and boundaries

  • Pick the mode before the Event opens. Changing it mid-Event can confuse people who joined under the old rules.
  • Matching on name and email is a convenience check. Do not rely on lower-security modes to protect valuable prizes or personal data.

No. Recovery uses the details given at the Event and does not create a StampRise participant account.

Use Email verification when prizes matter and inbox access is reliable. Exact name and email match is easiest for participants but offers the least protection.
